1. Basic guidelines for calculating the amount of tableware you need for your party...
The 2 things you need to consider when ordering are what you are serving and how many people you are having. The following covers 3 different types of parties and the estimated amounts of tableware you will need to order. We have given conservative estimates as there is nothing worse than running out of cups, napkins, forks, etc. and having to scramble to find something to fill in like paper towels or standard white paper plates, creating an eyesore when you worked so hard to create a beautiful coordinated party. We also have an easy to follow chart of this information that we will be happy to e-mail you. - Buffet Brunch, Lunch or Dinner: With a buffet, people will often take a few items and then go back to the buffet for salads or seconds and take a new plate. If you have a lot of men, you can assume that there will be more people taking seconds and a second plate than if the party is predominately women.

  • Lunch Plates For every 10 guests you need 1 Plate per person plus an additional 5 Plates

  • Dessert Plates For every 10 guests you need 1 Plate per person plus an additional 5 Plates
  • .
  • Lunch Napkins For every 10 guests you need 1 Napkin per person plus an additional 5 Napkins
  • .
  • Beverage Napkins For every 10 guests you need 1 Napkin per person plus an additional 5 Napkin
  • .
  • Hot/Cold Cups For every 10 guests you need 1 Cup per person plus an additional 5 Cups
  • . (If you are using the hot/cold cups for all your drinks, you need 2 per person)
  • Plastic Cups For every 10 guests you need 1 Cup per person plus an additional 5 Cups
  • .
  • Forks For every 10 guests you need 2 per person – 1 for the meal and 1 for dessert
  • .
  • Knives 1 per person plus 1 extra package as back up.
  • Spoons 2 per person – assuming 1 for the meal and 1 for coffee.
  • Guest Towels 1 package per 25 Guests.


- Seated Lunch or Dinner:
  • Lunch Plates For 10 to 50 guests you need 1 Plate per person plus 1 additional Package of Plates. 50 to 100 Guests, get 2 additional packages of plates if there are 8-10 in a package and 1 if there are 24 in the package

  • Dessert Plates For 10 to 50 guests you need 1 Plate per person plus 1 additional Package of Plates if there are 24 in a pack and 2 if there are 8-10. 50 to 100 Guests, get 2 additional packages of plates if there are 8-10 in a package and 1 if there are 24 in the package

  • Lunch Napkins For 10 to 50 guests you need 1 Napkin per person plus 1 additional Package of Napkins if there are 50 in a pack and 2 if there are 20. 50 to 100 Guests, get 1 per person and 2 additional packages of napkins if there are 50 in a package and 4 if there are 20 in the package

  • Beverage Napkins For 10 to 50 guests you need 1 Napkin per person plus 1 additional Package of Napkins. 50 to 100 Guests, get 2 additional packages of Napkins if there are 50 in a package and 4 if there are 20 in the package

  • Cups The safest bet is to get 2 cups per person. If you are using both Plastic Cups and Hot/Cold cups, you need 1 per person of the hot/cold cups plus an additional 24 and 1 per person of the Plastic plus an additional 24 up to 50 people. 50-100 people, get 1 cup of each kind per person plus and additional 50
  • Forks 2 per person – 1 for the Meal and 1 for Dessert plus 1 extra package of 24 for backup

  • Knives 1 per person plus 1 extra package as back up.
  • Spoons 1 per person and 1 extra package.
  • Guest Towels 1 package per 25 Guests.


- Continental Buffet Breakfast or Brunch
  • Lunch Plates For every 10 guests you need 1 Plate per person plus an additional 5 Plates

Simple touches that will make a party really special...
A great party is in the details, and your guests will notice special touches that enhance your theme and make celebrating even more pleasurable!

  • Buffet/Place Cards -

  • Custom Banners - What better way to add a personal touch to your party than with a custom banner. Use the name of the guest of honor or a special sentiment. You can have wonderful photos between the words and on the ends, or choose something that matches your party like Teddy Bears, Trains or Silk Flowers. No matter what you choose, Set To Celebrate's banners are always a huge hit and often end up as keepsakes.   • Guest Towels - Having decorative or colored guest towels in the bathrooms that match your party, is a really elegant touch that people notice. It is also more sanitary than cloth towels when you are having a large number of guests. Just make sure that they are far enough away from the sink that they will not get splashed with water as people are washing their hands!


Organizing your seating for a party in your home...
Always make sure you have enough seating. You do not need to have 1 chair or place to sit for every guest, but try to have seating for at least 1/2 of your guests keeping in mind elderly guests or children who cannot stand and eat and may be sitting the entire time not allowing for shifts in seating.

Don't be afraid to move furniture to the sides of the room, or even out of the room. You may also want to consider moving an area rug that people could trip over or spill on.

Something fun that we often do for our own parties is to borrow or rent card tables and folding chairs (It is nice to have the same size and shapes tables, but there is nothing wrong with mixing round and square - just make sure that the tablecloths and decor on each table match!). We move the furniture out, or to the sides of the room and set up the tables. It is fun, festive and creates nice seating & conversation areas. Don't forget tablecloths and table decor! (see picture above)





Organizing for a buffet with seated guest tables...
You want to make sure that the tablecloths and table decor on your buffet and guest tables are coordinated. Using different tablecloths on each table is not a nice look.

You will probably want a larger centerpiece on the buffet table and smaller centerpieces on the guest tables. An example that works well for us is to use a Diaper Cake or Diaper Cake Topper on the buffet table and matching "balloon holder" centerpieces on the guest tables. You can also use one of our decorative buffet baskets tied with a balloon bouquet on the buffet table and balloon holder centerpieces on the guest tables. Just make sure that whatever is in the centers of your guest tables does not block people from seeing each other and having conversations across the table.

If you have a planned seating chart, you should have place cards with each guest's name at the seat you would like them to take. It is a nice way to make sure that people you think would enjoy meeting, have an opportunity to get to know each other.
